How UK physio and aesthetics clinics can win back lapsed patients, without sharing patient data
Most clinics have a list of past patients who meant to come back and didn’t. Life got busy, the pain eased, the follow-up slipped. A short, friendly message often reminds them. This guide shows how to do that yourself, from your own system, without giving your patient list to anyone.
This is practical guidance, not legal advice. If you are unsure whether you can message a particular group of patients, check the Information Commissioner’s Office (ICO) guidance on electronic marketing, or ask your adviser.
1. Decide who counts as “lapsed”
A lapsed patient is someone who has not booked for longer than you would normally expect. There is no single right number. Pick a window that fits your clinic, for example:
- Physio: patients who did not book the follow-up that was suggested, or whose last visit was a while ago and who might be due a review.
- Aesthetics: clients whose usual treatment interval has passed, such as a skin course that stopped halfway.
Most booking systems (Cliniko, Pabau, Jane, Dentally and others) can show patients by last appointment date. That filter is your starting list.
2. Take out anyone you shouldn’t message
- Anyone who has opted out of marketing, or asked not to be contacted.
- Anyone for whom a cheerful message would be wrong, for example after a complaint, or where the clinician knows it would not be appropriate.
- Anyone you never collected contact permission for. In the UK, the “soft opt-in” lets a business email its own past customers about similar services, as long as they were given a chance to opt out when their details were collected and in every message since. If that wasn’t done, leave them out.
3. Write three emails and one text
Short and human works better than glossy. Each message should say who it is from, give one clear way to book, and make it easy to say no.
- Email 1, a friendly check-in: “It’s been a while since your last visit. If you’d like a review, here’s the link to book.”
- Email 2, something useful: what has changed at the clinic, new opening hours, or a new clinician.
- Email 3, a simple last note: “This is our last reminder. Book here if it helps, or just ignore this.”
- One text message: one sentence, your clinic name, the booking link and how to opt out.
Things to avoid:
- Promising results or quoting success rates. Health claims in UK advertising need evidence, and patients notice overclaiming.
- For aesthetics clinics: promoting prescription-only medicines, such as anti-wrinkle injections, by name to the public. UK rules don’t allow it. Talk about a consultation instead.
- Pressure and countdown timers. A past patient should feel welcome, not chased.
4. Send from your own system
This is the part that keeps patient data safe. Your clinic sends the messages from the booking or email system you already use. Nobody else needs a copy of your list. If someone helps you write the messages, they only need to see the words, never the names.
Space the messages out over two or three weeks. Send at sensible times, and make sure replies reach someone who can book an appointment.
5. Count what happened
After 30 days, check your booking system: how many people on the list booked any appointment? That number, from your own system, is the honest measure. You don’t need to share names with anyone to know whether it worked.
6. Don’t forget the phone
A comeback message only helps if patients can actually book. Ring your own clinic at lunchtime and after 6pm. What does a patient hear? A full voicemail, or a closed message without a booking link, loses people who were ready to come back.
What we do
Next Booking does this for you. We start with a free check: we ask ChatGPT 3 questions your patients might ask, ring your clinic twice at busy times, and send you a one-page note within 2 working days. If it helps, our £149 patient comeback campaign gives you three emails and one text written in your clinic’s voice, plus a step-by-step guide to sending them from your own system. You approve every word. We never see your patient data.
Refund promise: full refund if fewer than 3 patients rebook within 30 days, for UK clinics with 150 or more eligible lapsed patients. See the terms.
